X12 856 [5010] Ship Notice/Manifest
This X12 Transaction Set contains the format and establishes the data contents of the Ship Notice/Manifest Transaction Set (856) for use within the context of an Electronic Data Interchange (EDI) environment. The transaction set can be used to list the contents of a shipment of goods as well as additional information relating to the shipment, such as order information, product description, physical characteristics, type of packaging, marking, carrier information, and configuration of goods within the transportation equipment.
The transaction set enables the sender to describe the contents and configuration of a shipment in various levels of detail and provides an ordered flexibility to convey information.
The sender of this transaction is the organization responsible for detailing and communicating the contents of a shipment, or shipments, to one or more receivers of the transaction set. The receiver of this transaction set can be any organization having an interest in the contents of a shipment or information about the contents of a shipment.

For ASNs sent in Shipment-Order-(Tare)-Pack-Item hierarchy: BSN00011408242016011513450001
For ASNs sent in Shipment-Order-(Tare)-Item-Pack hierarchy:
BSN00011408242016011513450002
Code identifying purpose of transaction set
- 00
- Original
When sent, the ASN will be processed as an initial ASN load. If an Original (00) is rejected by Application Advice (824) it should be corrected and resent with the Original (00) indicator as the initial load was not successful. If the Original (00) qualifier is sent with the same Shipment ID (BSN02) as an earlier successfully loaded ASN the file will be treated as a duplicate and not processed/loaded.
A unique control number assigned by the original shipper to identify a specific shipment
Shipment ID should not be reused for at least 12 months unless you are trying to replace a previously sent ASN. See qualifier notes in Transaction Set Purpose Code (BSN02) element. Walmart strongly encourages the use of a GS1Global Shipment Identification Number (GSIN) to ensure uniqueness and alignment of shipment ID with your company by means of GS1 company prefix.
Date expressed as CCYYMMDD where CC represents the first two digits of the calendar year
- BSN03 is the date the shipment transaction set is created.
Time expressed in 24-hour clock time as follows: HHMM, or HHMMSS, or HHMMSSD, or HHMMSSDD, where H = hours (00-23), M = minutes (00-59), S = integer seconds (00-59) and DD = decimal seconds; decimal seconds are expressed as follows: D = tenths (0-9) and DD = hundredths (00-99)
- BSN04 is the time the shipment transaction set is created.
Code indicating the hierarchical application structure of a transaction set that utilizes the HL segment to define the structure of the transaction set
This guide can be used to create a Ship/Order/Pack/Item(0001) or Ship/Order/Item/Pack(0002) structure so long as the items appropriate to Hierarchical Level Code (HL03) are sent. A Tare (T) Hierarchical Level may be sent between the Order (O) and Pack (P)/Item (I) level, depending on the Structure Code specified, to represent a Pallet level as needed.
- 0001
- Shipment, Order, Packaging, Item
The Shipment, Order, Package, Item (0001) is required by Walmart on all DSDC/Store ASN Types and is recommended when shipping multiple items per pack or when using GS1-128 based SSCC-18 labeling.
- 0002
- Shipment, Order, Item, Packaging
This Hierarchical Structure works best which shipping, almost exclusively, all one item per pack across multiple packs.
- 0004
- Shipment, Order, Item

Hierarchical Level
To identify dependencies among and the content of hierarchically related groups of data segments
- The HL segment is the only mandatory segment within the HL loop, and by itself, the HL segment has no meaning.
A unique number assigned by the sender to identify a particular data segment in a hierarchical structure
- HL01 shall contain a unique alphanumeric number for each occurrence of the HL segment in the transaction set. For example, HL01 could be used to indicate the number of occurrences of the HL segment, in which case the value of HL01 would be "1" for the initial HL segment and would be incremented by one in each subsequent HL segment within the transaction.
Code defining the characteristic of a level in a hierarchical structure
- HL03 indicates the context of the series of segments following the current HL segment up to the next occurrence of an HL segment in the transaction. For example, HL03 is used to indicate that subsequent segments in the HL loop form a logical grouping of data referring to shipment, order, or item-level information.
- S
- Shipment
Code indicating if there are hierarchical child data segments subordinate to the level being described
- HL04 indicates whether or not there are subordinate (or child) HL segments related to the current HL segment.
- 1
- Additional Subordinate HL Data Segment in This Hierarchical Structure.

Example: TD1*****G45582*LB
Code defining the type of weight
One instance of Weight Qualifier (TD106) with either Gross Weight (G) or Actual Net Weight (N) is required by Walmart for all ASN Types, with Gross Weight (G) being preferred. When sent, the Weight (TD107) and Unit of Measure (TD108) are required by Walmart.

Carrier Details (Routing Sequence/Transit Time)
To specify the carrier and sequence of routing and provide transit time information
One instance of this segment is required by Walmart for all ASN Types and must contain Transportation Method/Type Code (TD504). The SCAC code in the Identification Code (TD503) with a Standard Carrier Alpha Code (2) qualifier in the Identification Code Qualifier (TD502) are recommended.
Example: TD5*2JBHT*M
Code designating the system/method of code structure used for Identification Code (67)
- When specifying a routing sequence to be used for the shipment movement in lieu of specifying each carrier within the movement, use TD502 to identify the party responsible for defining the routing sequence, and use TD503 to identify the actual routing sequence, specified by the party identified in TD502.
- 2
- Standard Carrier Alpha Code (SCAC)
Carrier Details (Equipment)

- When MAN01 contains code "UC" (U.P.C. Shipping Container Code) and MAN05/MAN06 contain a range of ID numbers, MAN03 is not used. The reason for this is that the U.P.C. Shipping Container code is the same on every carton that is represented in the range in MAN05/MAN06.
- CP

- CA
- Case
The Case (CA) unit of measure qualifier may be used to send the number of packs shipped. When sent, Walmart will use the Vendor pack quantity listed in the WM Item file, see Online Item File on Retail LinkTM for more details, to determine the number of sellable units. Note: If using a Case (CA) unit of measure and a quantity error occurs suppliers may want to ensure their vendor pack quantity is correct as part of their troubleshooting process.
